This Role in a Nutshell

The Operations Project Coordinator will support the day-to-day coordination and delivery discipline of cross-functional Operations initiatives. The role acts as a central coordination point between business owners and teams—maintaining plans, trackers, documentation and meeting cadence—so that timelines, actions and dependencies are visible and progressed. The coordinator prepares agendas and minutes, drives structured follow-ups, consolidates inputs for reporting, and supports SOP/workflow documentation and continuous improvement activities to strengthen execution and operational consistency.

What Does Your Role Specifically Involve?

·  Providing project coordination and PMO-style back-office support across business units (planning, tracking, documentation).

·        Tracking timelines, deliverables, dependencies and risks; maintain action logs and status updates.

·        Sending structured follow-ups to project/business owners; ensuring next steps are clear and owners/dates are captured.

·        Organising cross-functional meetings/workshops; preparing agendas, pre-reads, and alignment materials.

·        Maintaining project documentation repositories (SOPs, workflows, templates, trackers) and ensuring version control.

·        Supporting operational procedure mapping and updating (process documentation, SOP drafting, workflow diagrams).

·        Consolidating inputs from departments for planning, reporting, and decision support.

·        Assisting with basic data collection and dashboard preparation (e.g., KPIs, milestones, throughput/aging, bottlenecks).

·   Contributing to Ops continuous improvement initiatives (streamlining routines, standardising templates, improving coordination cadence).

 

 Here Are Our Basic Requirements:

·        Bachelor’s Degree in Business Administration, Management, Information Systems, or any other related discipline.

·        MS Project hands on knowledge will be considered an advantage.

·        Any exposure to Project Management certifications or methodologies (e.g., CAPM, PRINCE2 Foundation), or willingness to pursue certification, will be considered an advantage.

·        Excellent command of the English and Greek languages, both verbal and written.

Must-have skills:

·     Coordination & follow-through: Able to support action tracking, follow-ups and deadline management, ensuring owners and next steps are clearly captured.

·        Written communication: Capable of preparing clear meeting minutes, action summaries and internal updates.

·        Meeting support: Comfortable assisting with meeting preparation and capturing key decisions and actions.

·        Documentation & organisation: Able to contribute to SOPs, workflows, templates and trackers, following agreed standards and version control practices.

·     Basic data handling: Comfortable working with basic data sets (e.g. filters, simple formulas, pivots) and preparing inputs for reports or dashboards.

·        Cross-functional collaboration: Able to work with multiple departments, communicate professionally and escalate issues when   needed, with guidance.

·        Attention to detail: Strong focus on accuracy in tracking, documentation and file organisation.

·   Tool proficiency: Good working knowledge of Microsoft Office (Excel, PowerPoint, Word); familiarity with SharePoint or  Microsoft Teams is an advantage.

This Role in a Nutshell

The successful candidate will provide Prudential Support and Risk Management Services to Credit Institutions, Investment Firms, Payment Institutions, Electronic Money Institutions, Alternative Investment Funds and Fund Managers, and other financial institutions. Also provide advice, guidance and assistance to clients on prudential related matters and risk management issues, and communicate with them and the authorities.

What Does Your Role Specifically Involve?

  • Prepare regulatory report and financial returns (i.e. IFR Forms, MIFIDPRU Returns, ICARA process reports, Pillar III Disclosures, Annual Risk Management Reports, Resolution Plans, Recovery Plans etc.) for CySEC, FCA and other EU Regulators.
  • Provide advice and solutions to Investment Firms, Funds, EMIs and other regulated entities on capital & liquidity adequacy and risk management issues.
  • Assist regulated firms on the design of the Risk Management Framework including the identification, mitigation and monitoring of applicable risks.
  • Work as part of an expert team, coordinate with other departments (e.g. legal & corporate, accounting & tax, internal audit, financial registration etc.) and develop strong working relationships.
  • Prepare Business Plan and capital & liquidity forward looking allocation for regulated firms.
  • Communicate on behalf of Investment Firms, Funds and other regulated entities with the regulatory authority such as CySEC, FCA and other EU Regulators.
  • Communicate with personnel and management of the client.
  • Review and analyse new regulations and advise how these are impacting the clients’ compliance, business and capital planning.

Please note that full training will be provided to successful candidates.

The candidates should be able to demonstrate

This Role in a Nutshell

The successful candidate will participate in Regulatory Audits focused on regulatory compliance matters of regulated firms and assess the level of compliance with respect to the applicable legislation.

What Does Your Role Specifically Involve?

  • Participate in desk-based Internal Audits focused on regulatory compliance of CIFs and other regulated firms.
  • Obtain broad compliance-related knowledge in regulatory frameworks relevant to AML/Know Your Client (KYC), MiFiD, EMIR, Funds, Fund Managers, Payment Service Providers, etc.
  • Assess the level of compliance i.e. convergence/divergence of CIFs practices/ operations with respect to the applicable legislation.
  • Review and evaluate the adequacy and effectiveness of internal controls, the compliance level and the quality of operating performance of CIFs with local and EU regulatory framework.
  • Undertake sample compliance checks on Client Identification, Due Diligence and anti- Money Laundering controls that the regulated entities perform towards their Clients.
  • Monitor the existence of policies of the CIFs as required by the Law.
  • Assess data/information/evidence received and draft Internal Audit Reports, with major findings/ weaknesses and recommendations, to the Senior Management and the Board of Directors of regulated entities.

  • Handling the incorporation, administration, and maintenance of limited liability companies as well as Board Meetings and Shareholders Meetings.
  • Advising on all aspects of company law, including incorporations, restructurings, and corporate governance.
  • Drafting Share Purchase Agreements (SPAs), Shareholder Agreements, and other key transactional documentation.
  • Drafting and reviewing constitutional documents (Memorandum, Articles of Association, and related governance instruments) and Minutes of Board of Directors.
  • Conducting legal due diligence on corporate entities, drafting due diligence reports, and managing corporate compliance documentation.
  • KYC and AML related tasks, in line with applicable regulatory requirements.

Requirements

  • University degree in Law (Master’s degree in Corporate or Commercial Law preferred).
  • At least 5 years of post-qualification experience in corporate and commercial law.
  • In-depth knowledge of company law and corporate administration matters.
  • Ability to manage multiple matters efficiently and work both independently and as part of a team.
  • Maintaining good organization and documentation practices, ensuring accurate record-keeping and timely delivery of work.
  • Fluency in Greek and English, both in writing and verbally.

Remuneration

A competitive remuneration package will be offered to the successful candidate according to qualifications and experience, including discretionary performance-related bonus and provident fund provident fund upon successful completion of the probation period.
