Studio Coordinator - Birmingham

Are you a highly organised and detail-oriented individual with a passion for the creative industry? We're looking for a Studio Coordinator to join our dynamic team in Birmingham. As a Studio Coordinator, you'll play a pivotal role in ensuring the smooth operation of our studio, managing schedules, coordinating projects, and facilitating communication among team members. Job Description
General Administration:

• Answer the telephone & manage reception
• Act as first point of contact within the Studio for clients and visitors
• Manage the Studio Meeting Room, including arranging refreshments when required
• Organise any required post/couriers
• Manage and update the office protocols with our internal Quality Assurance
• Assist with the chasing of timesheet completion
• Overview staff holidays to ensure no clashes within teams
• Organise staff training (including CPDs, CITB Testing & Asbestos Training)
• Work with the wider support team to ensure efficiency across the Practice
• Ensure buildings/office H&S policies are followed & acting as a key contact for the building’s management company
• Maintain updated inventory of office content
• Manage office supplies & stationary

Project Related Administration:

• Arrange all travel – Trains, flights, hotels, car hire, visas, insurance and overseas travel
• Preparation and assembly of documents for meetings, submissions & presentations including printing, binding and scanning
• Typing and formatting of project related correspondence including letters, memos, minutes, reports and agendas for the Directors and Associates
• Supporting in collating documents for bids including proof reading, compiling information and digital distribution
• Support the studio resourcing Director with weekly updates of CMAP to ensure future staff allocation is up to date and accurately reflect upcoming staff availability or requirements for additional staff

Key Attributes Required:

• A bright, positive attitude with a willingness to be flexible and help out when needed
• Strong organisation skills with meticulous attention to detail
• Strong team player, providing support to project teams as well as wider reception team as and when required
• Knowledge of Microsoft office (Word, Excel, Powerpoint)
• Proactive approach when dealing with issues
• Ability to communicate on all levels with a high level of professionalism
• Ability to coordinate numerous tasks concurrently
• Works well without supervision and is highly motivated

As an Architectural Technologist, you will enjoy an interesting mix of responsibilities:

• Provide high quality technical drawings and supporting technical information in compliance with Corstorphine & Wright’s Quality Management procedures. 
• Where identified as Project Manager for a project, ensuring the efficient delivery of the technical services identified in the project brief, to the agreed deadlines & within budget.
• Maintain a competent working knowledge of current and pending legislation affecting the production of technical information and ensure compliant with relevant Building Regulations, Building Bulletins and Health and Safety guidance in relation to managing projects. 
• Manage the production of detailed design drawings, working drawings, schedules, and specifications, 2D and 3D drawings.
• Arrange project reviews to assist with resolving technical issues as they arise.
• Ensure clear understanding of Appointment Documents & Scope of Services. 
• Notify the Directors of potential PI claims or issues that require their review.
• Assist with the mentoring of junior members of the technical team on all aspects of technical delivery. 

We want to hear from you if you have the skills and qualifications listed below:

• HNC/HND in a related discipline or can demonstrate significant relevant experience. 
• Membership of CIAT or working towards chartered status.
• Proven record of accomplishment of delivering multiple projects.
• Proficiency with Revit and AutoCAD, and an understanding of BIM Protocols.
• Ability to manage workload effectively, make clear decisions and meet tight deadlines.
• Evidence of building and maintaining working relationships with clients, contractors, team members, colleagues and third parties.

• Co-ordinate with other consultants, negotiate with clients, disseminate information to team members, negotiate with statutory bodies, present a case to a committee, and work and co-ordinate with colleagues.
• Able to prepare and deliver presentations and manage and run meetings effectively
• Advise clients on appropriate services, provide general advice and guidance to clients, understand client needs, deal with client enquiries efficiently, deal with client complaints, and monitor client satisfaction levels.
• Assist in bidding for and winning new business to achieve targets set through the local studio/ regional business plans.

Key Skills & Qualifications:

• Professionally qualified in field of operation, i.e. RIBA, RIAS, etc.
• Structured approach to problem solving and decision making.
• Able to manage budgets and control expenditure.
• Ability to assist in developing new business.
• Work with minimum supervision.
• Competent to prepare and deliver presentations and manage meetings effectively.
• Good working knowledge of CAD, REVIT & Microsoft Office and BIM where relevant.
• Demonstrated evidence of people management skills, including supervising others in achieving. key responsibilities in the role, recruitment, coaching and development and managing performance.
• Evidence of building and maintaining high levels of working relationships with clients, team members, colleagues and third parties.
• Good level of personal organisation and planning skills.
• Good understanding of QM procedures and H&S requirements and professional responsibilities.
• Excellent communications skills (written and oral).

Responsibilities:

• Researching and developing solutions to architectural problems.
• Preparing presentation materials using manual and digital techniques/software for internal and external purposes, including attending Client presentations, and incorporating feedback.
• Drafting and amending concept and detail designs using manual and digital techniques/software.
• Establishing & integrating technical information and statutory requirements into design & production drawings including preparing drawings for planning & building control approval, tender and construction purposes. 
• Modelling schemes in 3D design software, including Revit/BIM.
• Preparing and/or commissioning measured surveys and site reports.
• Preparing written specifications and clear & accurate contract documents.
• Establishing and integrating technical information and statutory requirements into design and production drawings, including preparation of drawings for planning, and building control approval, tender and construction purposes.
• Attending relevant design team meetings, following up action points and contributing to agenda items where appropriate.
• Attending site meetings with project architect. 
• Maintaining office and project files, preparing drawing issues and maintaining project QA records.
• Participating in internal CPD presentations.
• Researching project briefs, materials and construction products and systems, including using the office library and electronic information retrieval systems.

Professional Competencies required for the role:

• ARB/RIBA Part 2 qualification
• Strong design awareness
• Aware in principle of responsibilities under RIBA and ARB Codes of Conduct
• Sound knowledge in the use of relevant software packages which may include AutoCAD, Adobe creative suite, Sketch up and Revit
• Knowledge and understanding of CDM regulations
• Excellent written & verbal communication skills
• Achievement of RIBA Mandatory Competencies, where appropriate
