The Role

We are seeking a proactive, highly-organised, and service-minded Office Administrator to support the smooth day-to-day operation of our Nicosia office. The role combines office administration, facilities coordination, travel and logistics, executive support, event coordination and wider administrative support. You will work closely with colleagues, leadership, vendors and service providers to maintain a safe, efficient and welcoming workplace, while handling sensitive information in a discrete and professional manner.

 

C - Customer

 

·       Provide a professional, helpful and responsive point of support for employees, executives, visitors, vendors and service providers.

·       Ensure the office is clean, safe, organised, well-supplied and functional, creating a positive day-to-day workplace experience.

·       Coordinate employee and executive travel arrangements, including flights, accommodation, transportation, itineraries and visa requirements, where applicable.

·       Organise internal and external meetings, events and conferences, ensuring catering, venue, technical and logistical requirements are delivered to a high standard.

·       Handle incoming and outgoing correspondence, mail and deliveries/supplies efficiently and professionally.

·       Support employee engagement initiatives and office-wide activities, helping create a welcoming and well-run working environment.

 

A – Accountability

 

·       Take ownership of daily office operations and proactively identify and resolve administrative, facilities and workplace issues.

·       Maintain appropriate stock levels for office supplies and manage ordering in an organised and cost-conscious manner.

·       Manage office-related budgets for supplies, maintenance and facilities, seeking cost-effective solutions and maintaining relevant records.

·       Ensure office areas and employee-related activities comply with health, safety and workplace requirements, carrying out regular checks and reporting hazards or concerns promptly to the H&S Committee.

·       Monitor adherence to relevant company policies and procedures and escalate issues where appropriate.

·       Handle confidential and sensitive information, including executive and employee-related information, with the utmost discretion.

 

R – Responsibility

 

·       Liaise with vendors, contractors and service providers to coordinate office maintenance, repairs and facilities services.

·       Provide personal assistance to the CEO on an occasional, as needed basis, when requested.

·       Prepare clear and detailed travel schedules and communicate arrangements to travelers and relevant stakeholders.

·       Respond effectively to last-minute travel or logistical changes and troubleshoot issues as they arise.

·       Coordinate practical arrangements for meetings, events and conferences, ensuring requirements are completed on time.

·       Provide administrative support to other departments, as required.

·       Assist the HR team with Time and Attendance record-keeping and employee-related logistics where appropriate.

Skills & Requirements

 

Essential:

  • Solid experience in data engineering, with a track record of delivering production-grade data platforms.
  • Strong proficiency in Python and SQL; familiarity with C++ or TypeScript is a plus.
  • Hands-on experience with distributed data processing frameworks such as Apache Spark and Databricks.
  • Experience with cloud data warehouses (Snowflake, Redshift, BigQuery) and data lake architectures.
  • Proficiency with pipeline orchestration tools (Airflow) and transformation frameworks (dbt).
