The role:
We are seeking a highly organized and proactive Office Administrator on a fixed-term contract (Maternity Cover) to manage daily office operations, provide administrative support, and coordinate business travel.
The ideal candidate will ensure the smooth running of the office while contributing to the efficiency of team operations.
Key Responsibilities:
Office Administration
- Oversee daily office operations, ensuring a clean, organized, and functional workspace.
- Coordinate travel arrangements for employees, including booking air tickets, hotels, and transportation.
- Maintain an organized system for ordering office supplies and ensuring stock levels are adequate.
- Liaise with vendors, contractors, and service providers to manage office maintenance and repairs, such as electricians, plumbers, and IT support.
- Ensure compliance with health and safety regulations within the office environment.
- Handle incoming and outgoing correspondence, including mail and deliveries.
- Manage office budgets related to supplies and maintenance, ensuring cost-effective solutions.
Travel & Logistics Coordination
- Plan, book, and manage travel arrangements for employees and the CEO, including flights, accommodations, and itineraries.
- Prepare detailed travel schedules, ensuring all logistics are clearly communicated.
- Handle last-minute changes to travel plans and troubleshoot issues as needed.
Executive Assistance to CEO
- Manage the CEO’s calendar, including scheduling meetings, appointments, and events.
- Act as the first point of contact for the CEO, screening calls and emails, and prioritizing tasks for attention.
- Handle confidential and sensitive information with the utmost discretion.
- Assist with personal tasks for the CEO as needed.
Event Coordination
- Organize internal and external meetings, events, and conferences, including catering and venue arrangements.
- Ensure all logistical requirements for events are met in a timely and professional manner.
Support Functions
- Provide administrative support to other departments as required.

- Exceptional attention to detail and problem-solving skills.
- Ability to prioritize tasks and manage time effectively.
- Proactive approach to identifying and resolving issues.
- Strong interpersonal skills and ability to work collaboratively with diverse teams.
